Features · Expenses

Expense claims without the shoebox.

Photograph the receipt, pick a category, submit. The manager approves it, an administrator marks it paid, and every view of the receipt is logged.

What it does

  • Claims and mileage

Travel, meals, accommodation, supplies, mileage and other. Mileage is kilometres at the rate you set for your organisation, and the rate is kept with the claim.

  • Receipts attached

Up to six supporting files per claim — photos or PDFs — uploaded straight from the phone.

  • Your rule on receipts

Set an amount above which a receipt is required. A claim over it cannot be approved without one. Declining is never blocked.

  • Approved by a manager, paid by an administrator

A manager approves or declines, and a decline carries a note. Nobody decides their own claim. An administrator then marks the approved claim reimbursed.

  • Every look at a receipt is logged

Opening an attachment writes an audit entry, so who saw what is on the record.

Worth knowing

The limits, stated plainly, so nothing on this page says more than the software does.

  • No GST or tax handling — a claim is one amount.
  • Claims are not sent to Xero or to payroll. "Mark reimbursed" records that it was paid; it makes no payment.
  • A submitted claim cannot be edited or withdrawn. The approver declines it and the person submits again.
  • One mileage rate per organisation, in one currency.
